    The Temporary Travel Coordinator & Administrative Support assistsin booking travel for the Training Department as well asapprovingtimecards and expenses for all courses run by the Training and Certification Departments.Additionally, you willassistwith other department administrative tasks as needed.



    • Assist in approving applicable seminar travel expenses
    • Assist in approving timecards for seminar staff
    • Gather travel and payment information from new trainers and translators toassist with account and profile set-up
    • Gather payment information from new host facilities to assist with account set-upand entering hostfacility payments following seminars
    • Assistwith payment related account andprofile updates, as well as payment issueswith staff and host facilities
    • Communicatewith staff regarding erroneous or delinquent expense submittals
    • Assist with submitting flight, hotel, car, and miscellaneous expenses in Nexonia
    • Communicate with hotels, rental car agencies, and travelers to reconcile double charges and invalid reimbursements
    • Assistin bookingtravel for the seminar staff team, domestically andinternationally
    • Assist in booking travel for groups and individuals for special events, meetings, and professional development
    • Assist the Travel Manager with special projects and events including coordinating transportation plans and assisting with larger final travel plans
    • Trackall flight, hotel, and transportation costs related to any travel booked



    • Extensive knowledge of internal company travel policies, expensing policies, andvendor contracts
    • Extensive knowledge of the internal departmenttravel booking systems, as well as the expensing andinvoicing system
    • Intermediate understanding of Excel and Google Sheets
    • Basic understandingof the external travel industry, contracting process, and the company payroll system
    • Ability to establish and maintain effective relationships with other employees and contractors
    • Ability to present facts and recommendations effectively in oral and written form
    • Self-starter, highly driven, well organized and be able to think “outsideofthe box”
    • Comfortable using multiple internet browsers and computer programs simultaneously
    • Ability to work well in a flexible and dynamic work environment



    • High School Diploma or GED
    • Some experience handling travel requests
    • Experience handling accounts payable
    • Experience managing payroll requests


    • Ability to sit or stand at a computer for extended periods of time
    • Ability to use a phone, computer, copier, and printer
    • Ability to work nights, weekends, and holidays as needed and on occasion
    • Ability to travel upon request
